Design & Create a Flexible Retail Solution to enable FORM Agency to represent clients brands at live events across the country.

In 2016 FORM Agency expanded into the live events sector, taking clients brands to exhibitions and gaming events around the country. We were required to create a solution that would allow us to represent clients brands at live events across the country, with the first event we were due to attend being Upload Event in Tobacco Dock, East London in November 2016.



The Challenge:

Construct an affordable, flexible retail solution to allow FORM Agency to represent multiple clients brands at live events around the UK.

The first live-event was due to be hosted at Tobacco Dock, East London in November 2016.

The Requirements:

Cost: Off the shelf event systems can run into the thousands of pounds, even at rental prices. The final solution had to be cost efficient in order to avoid unreasonable costs being passed on to clients.

Portability: The solution had to be sufficiently portable in order to be easily transported to events around the country as well as ensuring the build and tear down process was as efficient as possible.

Flexibility: The solution had to be able to fit a range of event spaces.

Reporting: There was a need to gather accurate sales data from live events in order to be able to feed this data to clients via the FORM Agency client dashboard.

Marketing: The solution had to provide sufficient advertising space that could be easily updated between events to represent the brands in attendance and provide a synonymous brand experience for the customer.

Display: Obviously the solution would have to provide sufficient space to display the various products ranges on offer.

The Solution:

Taking inspiration from the likes of OpenDesk - the open source furniture makers - I decided to create the PopUp Shop primarily from Plywood Panels. Due to the very 2D nature of such a material it would be relatively simple to fabricate, easy to transport and setup at events, while being achieveable at a low price point in comparison to some exhibition solutions. The use of plywood would also provide a unique event space compared to other exhibitors and ensure that the PopUp Shop could be easily expanded with additional units or units easily replaced should any be damaged at events.

The PopUp shop is constructed from various modular units as shown above. Not only do they provide the structure, they also provide space for displaying products as well as various forms of advertisement. These units can be fixed together to create a range of layouts.

The Results:

The PopUp shop allowed FORM Agency to represent their own brand to gain exposure alongside client brands at live events. At the first event in November 2016 the stand was such a success that extra staff had to be brough in to control the crowds. Utilising our mobile POS system we were then able to sell to customers on the exhibition floor while the rest of our staff worked at the POS desk and implemented a queueing system. Utilising the stand for 'celebrity signings' meant that on its debut the stand actually out-performed the official merchandise stand over the course of the event. The TV cabinet was used to display clients YouTube content during the course of the event, and acted as its own attraction, encouraging customers over to the stand.

The PopUp Shop met and out-performed all of the original requirements, being easily transported inside a medium sized van and being able to be setup by a team of two in less than an hour. It also provided considerable cost savings vs. traditional event spaces, as well as the unique construction of the Shop meaning it was able to stand-out and become its own talking point.
